Private functions, hosted parties, meetings, hospitality events, or other gatherings that compete with, conflict with, or detract from any official Insights Association conference activity are strictly prohibited during the dates of the conference. This includes, but is not limited to, chapter events, scheduled excursions, educational sessions, networking events, exhibit hall hours, and any other conference-sponsored programming.
This policy applies regardless of whether the individuals involved are registered for, attending, or participating in the official Insights Association event at the time of the outside activity.
Any organization, sponsor, exhibitor, attendee, or affiliated group seeking to organize, promote, sponsor, or host an event, meeting, or gathering in connection with the Insights Association conference must obtain prior written approval from the Insights Association CEO, COO, Director of Events, or VP of Programming & Communications before initiating any planning, outreach, invitations, marketing, promotions, or attendee solicitation. Approval is required even if the proposed activity does not appear to conflict with the published conference schedule.
Insights Association reserves the sole and absolute right to determine whether an activity violates this policy. Unauthorized events, promotions, or attendee solicitations may result in immediate cancellation requests, removal of promotional materials, loss of sponsorship or exhibitor privileges, exclusion from current or future conference participation, and/or other corrective actions deemed appropriate by Insights Association.
