All cancellations must be received in writing at least two weeks prior to the start of the event. The Insights Association will issue a credit for the full amount of your payment, which may be applied towards a registration fee at any future Insights Association event (excluding Chapter events) held within 12 months. In lieu of a credit, at your request, Insights Association will issue a refund less a $300 cancellation fee. Cancellations received after the two-week prior deadline are non-refundable. If you are unable to attend, you may send a substitution. Substitutions requests must be emailed to inquiries@insightsassociation.org no later than 48 hours prior to the start of the event.

Meeting Safety & Responsibility The Insights Association is committed to providing a safe, productive, and welcoming environment for all meeting participants at all association events, including those sponsored by our chapters, committees, and organizations other than the association but held in conjunction with Insights Association events, in public or private facilities.

The Insights Association has zero-tolerance for sexual and other forms of intimidation, discrimination, harassment, or assault of or by anyone at our meetings. This may include but is not limited to physical or verbal abuse, inappropriate comments related to gender, sexual orientation, disability, physical appearance, race, religion, national origin, inappropriate use of nudity and/or sexual images, threatening or stalking any attendee, or disruption of proceedings.

The Insights Association will take any action deemed necessary and appropriate in response to any incident of unacceptable behavior, including immediate removal from the meeting without warning or refund, prohibiting attendance at future meetings, public sanction and/or expulsion for cause from the membership, as well as legal and other remedies

Any person who attends this event grants permission to the Insights Association, its employees and agents, to record his or her visual/audio images, including but not limited to, photographs, digital images, voices, sound or video recordings, audio clips, or accompanying written descriptions and, without notifying such person, to use his or her name and such images for any purpose, including advertisements for the Insights Association and its programs.

Private functions, hosted parties, meetings, hospitality events, or other gatherings that compete with, conflict with, or detract from any official Insights Association conference activity are strictly prohibited during the dates of the conference. This includes, but is not limited to, chapter events, scheduled excursions, educational sessions, networking events, exhibit hall hours, and any other conference-sponsored programming. 

This policy applies regardless of whether the individuals involved are registered for, attending, or participating in the official Insights Association event at the time of the outside activity. 

Any organization, sponsor, exhibitor, attendee, or affiliated group seeking to organize, promote, sponsor, or host an event, meeting, or gathering in connection with the Insights Association conference must obtain prior written approval from the Insights Association CEO, COO, Director of Events, or VP of Programming & Communications before initiating any planning, outreach, invitations, marketing, promotions, or attendee solicitation. Approval is required even if the proposed activity does not appear to conflict with the published conference schedule.  

Insights Association reserves the sole and absolute right to determine whether an activity violates this policy. Unauthorized events, promotions, or attendee solicitations may result in immediate cancellation requests, removal of promotional materials, loss of sponsorship or exhibitor privileges, exclusion from current or future conference participation, and/or other corrective actions deemed appropriate by Insights Association.

The Insights Association is committed to providing a professional, respectful, and welcoming environment for all participants — including presenters, attendees, sponsors, and staff.

By participating in our webinars and virtual events, you agree to engage in a respectful and constructive manner at all times. We reserve the right to remove any participant, without warning or refund, for behavior or comments that are deemed inappropriate, disruptive, bullying, harassing, discriminatory, disrespectful, or otherwise harmful.

This applies to all interactions, including but not limited to:

• Chat messages
• Q&A submissions
• Verbal participation
• Direct or indirect comments made to presenters, attendees, sponsors, or staff

Our virtual environment is an extension of our professional community. Even in digital spaces, we expect conduct that supports a safe, inclusive, and respectful experience for everyone.
